Onboarding

New colleagues in Ghent up and running from day one

Anyone recruiting in Ghent will find plenty of young talent: graduates from the university and colleges, student workers and interns. That is great, and it also means someone regularly starts or leaves. Each time, a laptop needs to be ready, an account created and the right access arranged.

We make that a standard procedure. Let us know who is joining, in what role and on which date. We provide a configured laptop, an account with the right permissions and the software that belongs to that role. When someone leaves, we close their access, keep what needs to be kept and prepare the device for the next colleague.

Many people in Ghent cycle to an office in the largely car-free centre, work from home a few days a week and take the train from Sint-Pieters for meetings. That means the workplace should feel identical everywhere: the same files, the same apps and a secure way to sign in.

We manage laptops so they receive security and updates directly over the internet, wherever they are. Documents live in OneDrive and SharePoint, and in Teams you work on them at the same time as your colleagues. With multi-factor authentication and well-managed devices your environment stays protected, without your staff noticing much of it.

Phones, tablets and laptops under one management

An installer out on the road, a sales rep visiting clients, a shop assistant with a tablet: those devices are part of the workplace too. We manage them centrally. Business apps and data sit in a protected area, separate from photos and personal apps. If a device goes missing, we wipe the business data remotely.

We also keep a proactive eye on laptops and PCs. We see when a disk is filling up or an update gets stuck, and often fix it before anyone notices. We push out software centrally, to one person or the entire team.

We work for teams in the city centre, around Sint-Pieters station and in the offices along the R4 and the E40. Neighbouring municipalities count too, from Sint-Martens-Latem and De Pinte on the south side to Lochristi and Destelbergen in the east.

Our head office is in Terneuzen, at the other end of the canal. Day-to-day support runs remotely, through the service desk. For an introduction, rolling out new laptops or a training session, we come on site. Because the ports of Ghent and Terneuzen are both part of North Sea Port, the city feels like a familiar neighbour to us.

Frequently asked questions about workplace management in Ghent

A new colleague starts on Monday. What do you need from us?

Really just the basics: the name, the role, the start date and any special requests. Based on the role, we know which software and access are needed. We arrange the account, the licences and a laptop that is ready to go. The sooner you let us know, the calmer the start, but we can help at short notice too.

Can staff use their own phone for work?

Yes. We then place the business apps and data in a protected area of the phone. Personal photos, messages and apps remain the employee's own, and we do not look at them. If someone leaves, we remove only the business part. Prefer a company phone? Then we manage it fully, from settings to updates.

How does working from home stay secure?

By managing the laptop itself properly, instead of only securing the office. A managed laptop stays protected and up to date, even after weeks away from the office. Signing in uses multi-factor authentication, and files are stored in Microsoft 365 rather than on a loose drive. That way an employee in Mariakerke works just as securely as at a desk in the city centre.

Your head office is in Terneuzen. Do you also come to Ghent?

Yes, when needed. We solve most questions remotely, because that is fastest for your staff. For the introduction, a larger laptop rollout, Microsoft 365 training or the strategy meeting, we come on site. Via the canal and the border crossing at Zelzate, the city is close by for us.
