Workplace management Middelburg

Workplace management in Middelburg for organisations that work together

In Zeeland's capital, hardly anyone sits at the table alone. You meet with municipalities, the province, partner organisations and volunteers, in the office and online. Infodatek Group sets up every employee's workplace for exactly that, securely and without fuss.

What it looks like

A workplace ready for meetings and collaboration

Workplace management covers everything your staff use every day: laptop, phone, account, Microsoft 365, software and help when something goes wrong. In Middelburg we see a pattern of its own. Many organisations have a small permanent core, supported by part-timers, board members, volunteers and interns. They work closely with outside partners and meet a lot, partly in the room and partly online. We make sure all those people can reach the right information securely, that guests see no more than they need and that a meeting starts on time instead of after ten minutes of fiddling with the camera.

  • Teams and SharePoint safely opened up to outside partners
  • Personal phones of board members and volunteers used with peace of mind
  • Meeting rooms where a hybrid meeting starts with one click
  • Laptops that last longer and are retired properly

Collaboration

Workplace management in Middelburg for working with partners

A project group with the municipality, a working group with fellow institutions or an advisory assignment for the province: in Middelburg you often work with people who are not on your payroll. Then you want to share one document, without attachments going round or losing track of who can see what.

We set up Microsoft 365 for exactly that. Outside partners get guest access to the specific team or folder that belongs to the project. Shared links can be given an expiry date, and we regularly clean up guest accounts that are no longer used. Working together stays easy, and you always know who is looking in.

Meetings

Hybrid meetings without sound and picture trouble

A meeting with half the people in the room and the rest joining online from Goes, Vlissingen or Zierikzee is everyday business for many organisations. Everyone needs to see and hear each other clearly. We advise on the screen, camera, microphone and speaker in your meeting room and connect them to Teams, so a meeting starts at the press of a button.

We tune your staff's laptops to match, with headsets and monitors that simply work. If something goes wrong, our service desk takes a look remotely.

Own device

Board members and volunteers safely on their own phones

Foundations, associations and cultural institutions rely partly on people who do not get a phone or laptop from the organisation. A board member reads papers on their own tablet, a volunteer checks the rota on her own phone. That is fine, as long as the organisation's data is well protected.

So we secure the business apps rather than the whole device. Outlook, Teams and OneDrive ask for a PIN or fingerprint, and organisation files cannot simply be saved to a personal app. When someone leaves, we remove only the organisation's data. Photos, messages and personal apps stay put.

Lifespan

From new laptop to a responsible farewell

We help you choose a laptop, set it up and keep track of its condition. If it slows down or the battery fades, we first check whether a repair or a clean-up will do. A laptop too light for one role can often carry on as a spare.

At the very end, we wipe the device according to a fixed procedure and advise you on reuse or recycling. We also plan the move from older laptops to Windows 11, so nobody is left working on an outdated system.

Organisations

Workplaces for the organisations of Middelburg

Alongside government and care, the city has many cultural institutions, foundations and consultancies, each with its own way of working.

Culture and heritage

Museums, archives, theatres and libraries in and around the city centre work with permanent staff, volunteers and temporary project workers. We arrange the right access for everyone, from the collection manager to the host at the front desk.

Foundations and associations

A small office, a board working at a distance and lots of volunteers. We provide a well-organised Microsoft 365 environment where everyone finds the documents meant for them, on their own device too.

Consultancy and engineering firms

Firms working for public bodies and water authorities share drawings and reports with many parties. We set up guest access and shared project spaces so collaboration runs smoothly and confidential files stay inside.

Small offices in the city centre

Architects, estate agents and designers in the old buildings around the Markt work with a handful of people and heavy software. We keep their laptops fast and secure and sort out the licences, so they can spend their time on clients.

Service area

Workplace management in Middelburg and across Walcheren

Your staff, board members and volunteers live all over Middelburg, from Veersepoort and the Magistraatwijk to Mortiere and Veldzigt. Others come in from the surrounding villages, such as Grijpskerke, Serooskerke, Koudekerke or Oostkapelle. Where they are makes no difference to their workplace.

Our team works from Terneuzen, on the other side of the Westerschelde. We usually solve questions remotely, which is fastest. For a meeting room that needs setting up, a new batch of laptops or a training session for your volunteers, we are happy to come into the city.

Frequently asked questions

Frequently asked questions about workplace management in Middelburg

We work a lot with outside partners. Can they work safely in our environment?

Yes. In Microsoft 365 you can give guests access to a single team, folder or document. We set it up so you can invite a partner yourself, within rules we agree together. Shared links get an expiry date where needed, and we remove guest accounts that have not been used for a while.

Our board members use their own phones. Is that responsible?

Certainly. We secure only the business apps, such as Outlook, Teams and OneDrive, with a PIN or fingerprint. The organisation's data stays in those apps and does not go to personal storage. When a board member steps down, we remotely remove only the business data. Otherwise the phone simply remains theirs.

Can you make our meeting room suitable for hybrid meetings?

Yes. We look at the room and at how you meet, and advise on screen, camera, microphone and speaker. Then we connect everything to Teams, so a meeting can start straight away. In a listed building we pay extra attention to what is allowed and possible. Your colleagues get a short explanation too.

We take on interns from local colleges every six months. How do we arrange their workplace?

With a fixed routine. You tell us who is coming and for how long. We prepare an account with access to what the internship needs, and a laptop from your own stock that still works well. At the end of the internship the account stops on the agreed date and we clean the laptop for the next intern.

What do you do with laptops that are past their best?

First we check whether they can be reused, for example as a spare or for an intern. If not, we wipe the device according to a fixed procedure, so no data is left behind. We then advise you on recycling or resale. Your inventory shows exactly which device was retired and when.
