Workplace management SMEs

Workplace management for SMEs, so your team can simply work

A laptop that is ready to go, software that is up to date and a login that always works. Infodatek Group looks after your employees' workplaces, from their first working day to their last. You and your team focus on your own expertise.

What is workplace management?

Everything your employees work with every day

Workplace management is the set of services that lets your employees work securely and comfortably, in the office, at home and on the move. It goes further than handing out a laptop. Think of the right devices, current software, Microsoft 365, accounts and permissions, security for every device and a service desk that helps whenever there is a question. For an SME without its own IT department, that is a lot to keep up with. We take it off your hands, or complement what you already have.

  • Devices: purchasing, rollout, inventory and replacement
  • Software and licences always current and neatly tracked
  • Security for every laptop, phone and account
  • A service desk and help with joiners and leavers

Components

What workplace management for SMEs involves

Good workplace management consists of a few fixed components that together form one whole. It starts with the devices. We help with purchasing, set up laptops, PCs, tablets and phones and keep an inventory. That way you always know what you have and what is due for replacement.

On top of that comes the software. We manage your licences, roll out new applications and clear away anything that is no longer used. Updates and security patches run automatically, at times that do not get in your team's way. On the people side, we take care of accounts, permissions and the service desk.

  • Devices: purchasing, setup, inventory and replacement
  • Software: licence management, rollout, updates and clean-up
  • Security: virus protection, encryption and secure sign-in
  • Users: accounts, permissions, joiners and leavers
  • Support: service desk, guidance and training

Benefits

Why SMEs outsource workplace management

In many SMEs, one colleague picks up the IT alongside their own job. When you outsource workplace management, that colleague gets their time back and you have a whole team of specialists behind you, with knowledge of the latest technology and experience across many different sectors.

You know the cost in advance, because you pay a fixed price per employee per month. Your workplaces stay secure and up to date. That helps with GDPR and with the requirements that customers and supply chain partners increasingly set. And when your business grows, we simply add another workplace.

  • Predictable costs per employee per month
  • A team of specialists instead of one person
  • Secure workplaces that help with GDPR and customer requirements
  • Easy to scale, including home and hybrid working

Approach

How we get your workplace management started

We start with an introductory meeting and an inventory. Which devices are there, how does your team work and which applications matter most? Based on that, we create a standard workplace that fits your working processes. We roll it out step by step, so your employees can simply carry on working.

Then the management begins. Monitoring shows us when something needs attention, often before anyone notices. Your dedicated contact knows your environment, records everything in documentation and discusses what is coming up in a regular strategy meeting: new colleagues, replacement devices or a new application.

  • Introduction and inventory
  • A standard workplace tailored to you
  • Calm rollout and handover
  • Ongoing management with a regular strategy meeting

The bigger picture

Workplace management as part of all your IT

Workplace management is about the employee and their devices. Behind that sits the rest of your environment: servers, network, backup and cloud. That falls under system administration and network management, and you can bring those into the same agreement with us. You then have one team and one contact for everything.

If you want everything arranged in one go, Digital Care, our own platform, is the natural fit. With the Managed Operations module, we manage and secure your complete IT for a fixed price per employee. Anyone who wants to go a step further can add an AI workplace with Managed Cowork.

Who we work for

Workplace management for every kind of SME

We work for SMEs in very different sectors. The workplace differs from one sector to the next, but the approach stays the same: look ahead and keep everything well maintained.

Manufacturing

On the shop floor, people work with shared PCs and tablets at the machines, while the office uses design and planning software. We make sure both worlds are set up well and that everyone sees exactly what they need for their work.

Technical wholesale

Inside sales, the warehouse and field sales each work in their own way. The office laptops, the warehouse scanners and the sales reps' phones all stay up to date, so everyone works with current information wherever they are.

Professional services

Accountants, lawyers and consultancies work with confidential files and often from home. A well set up Microsoft 365 with secure sign-in and clear permissions makes collaboration easy, with clients and with each other.

Healthcare

Practices and care organisations handle sensitive data and work in changing shifts. With our NEN 7510 certification, we set up workplaces that are secure and that care staff find quick and pleasant to use.

Construction and installation

Technicians and site managers keep their drawings and work orders to hand on a tablet or phone at the building site. We manage those mobile workplaces just as carefully as the office PCs, updates and security included.

Frequently asked questions

Frequently asked questions about workplace management for SMEs

From how many employees does workplace management make sense?

It starts with a small team. As soon as you have a few laptops, a Microsoft 365 environment and some applications, it helps to have someone keep track of it all for you. Most of the businesses we support have between 15 and 150 employees, but we also work for organisations with several hundred.

Workplace management or system administration: which do we need?

Workplace management centres on the employee: the laptop, the phone, accounts, Microsoft 365, software and the service desk. System administration covers the whole environment behind it, such as servers, network, backup and cloud. They complement each other. You can start with workplace management and expand later, or bring everything to us at once.

We already have an in-house IT person. Does workplace management still make sense?

Yes, then we work together. We take over the daily work around laptops, accounts and updates, so your IT person has time for projects and improvements. We agree together who does what and record everything in the documentation. If your IT person is away for a while, we temporarily pick up more.

What about working from home?

Home working is a standard part of workplace management. We set up laptops so they work at home just as they do in the office, with secure sign-in, files in the cloud and updates that arrive wherever the device is. Your employees can choose where they work, and you know every workplace is set up securely.

Do we have to buy our laptops and phones from you?

No. We are happy to help you choose and purchase devices that suit your work and your budget. If you already have laptops and phones, we simply include them in management. Either way, we set them up, keep the inventory current and plan replacements in good time.
