All that information is confidential: site details, alarm procedures, key registers and the personal data of your own people. What safety organisations need from their IT

Safety does not stop at five o'clock. Shifts run through the night and the weekend, and an alarm comes in whenever it comes in. The systems for planning, reporting and alarm handling must therefore always be reachable. On top of that, staffing changes often: new colleagues start, on-call staff step in and several officers share the same device at a post.

Your profession also calls for care. Clients give you access to their buildings, keys and alarm procedures, and trust that this information is safe with you. Well secured IT is therefore also a calling card for your own service. So you do not just want everything to work, you also want proof that it is set up securely.

In the field

Phone and tablet as a fully fledged workplace

For most of your people, the phone or tablet is their only workplace. We look after those devices from one central point: a new device is made ready for use remotely, the apps for rostering, reporting and communication are on it straight away, and updates happen automatically. If a device is left behind in the patrol car or at an event, we can lock it or erase it from a distance.

At a post where officers relieve each other, we set up the device so that each officer logs on under a personal account. As a result, the report shows who recorded what. If your people work on their own phones, we separate work from the rest of the device: work apps and business data are protected, private matters stay private. Signing in includes a second step, and role-based access ensures someone only reaches the information that belongs to their job.

Control room and office

Continuity for control room, planning and office

The control room or alarm receiving centre is the nerve centre of your organisation. The alarm handling software usually comes from a specialist supplier, who configures and maintains the package. Our part is everything surrounding it: workstations, network, servers or cloud, backup and security. The control room network is kept separate from the office, guests and cameras, and for maintenance we choose a moment together that suits the control room.

If planning or other packages still sit in a server cabinet at the office, consider ANYBASE, the private cloud we run ourselves within the European Union, hosted in a Tier 3 designed facility. If you want extra certainty, you can add failover to Microsoft Azure. Each night, servers and databases go into the backup, with an extra copy kept offline on tape. Want to link systems together, such as planning, time registration and payroll, or your alarm software with another package? Then we first work out together with you and the vendor what is feasible. Only then does our software team build what we have agreed.

Secure and demonstrable

Your own IT as well secured as your clients

Clients expect a safety organisation to set a good example, digitally too. With MDR, a SOC keeps watch over your workstations, servers and Microsoft 365 accounts around the clock, and intervenes at a suspicious sign-in or an infected device. Permissions are tied to a person's role, and an audit trail shows who had access to what and when. In Elite, the top edition of Digital Care, this monitoring is included; for Start, Plus and Pro it is an add-on.

Whether you fall under NIS2 yourself is something we work out together. If your clients are covered by it, for instance ports, energy companies or care providers, you can expect questions about your security. Smart Compliance keeps your measures and proof in a single file that our compliance team maintains, while security awareness sessions help your officers and control room staff recognise a phishing message or a suspicious request sooner. Our own ISO 27001 certificate is reviewed independently every year.

Supervision and enforcement

Enforcement officers, parking attendants and traffic controllers work outdoors, with their phone as their most important tool. We keep those devices safe and current, and the data they collect well shielded.

Frequently asked questions

What safety organisations often ask us

Our people work at night. Who helps them if they get stuck?

We agree together what availability you need, with an emergency procedure for out of hours disruptions that fits your shifts. Small questions can be handled straight away: with Managed Cowork, the IT Assistant answers many questions itself at any hour, and where needed passes a ticket, complete with the details, to our service desk. And because we monitor your environment, we pick up a lot before an officer notices anything.

Can security officers work on their own phones?

Yes, if you want them to. Then only work apps like Outlook and Teams get a lock of their own, opened with a PIN code or fingerprint, and business data stays inside them. Photos and private messages remain outside our management. When someone leaves, only the work section is removed; everything else on the phone is left alone. Together we agree which apps are permitted on private devices and which only on a company device.

Will you manage our alarm handling or control room software as well?

Configuration and support of the package remain the supplier's job. Our role covers what it runs on and what it connects to: workstations, network, servers or cloud, security and backup. We coordinate every update or change in advance with the supplier and with you. If you want to link the software to other systems, we first investigate with the supplier what is possible. Only when that is clear do we make arrangements.

How do you arrange access for on-call staff and new colleagues?

Quickly and tidily. A new colleague gets an account with the permissions that belong to their role, and a device that is ready to use. Someone who only works the occasional shift reaches only what they need for that shift. After the last working day, access is closed at the moment you specify. That way you keep sight of who can view which information.

Is our security company covered by NIS2?

Usually not directly, because private security is not a sector in its own right under the law. That can be different if you also provide other services, and your size plays a part. The chain often matters more: clients within the scope of NIS2 must also consider their suppliers, and you are one of them. Together we establish your position, and Smart Compliance lets you record measures and evidence.

Will our shifts notice the switch?

We keep the impact to a minimum. First comes an introduction, followed by an inventory of locations, devices, systems, suppliers and contracts. Then you get a proposal in plain language. We plan the transition around your rosters and move devices over group by group, so there are always people able to work in the field. Our teams in Terneuzen (Zeeland) and Vianen (Utrecht) support over five hundred organisations in the Benelux.
