The importance of good workplace management for SMEs: take IT seriously before it is too late

By Walter de Kok

Many businesses only take action when things really start to pinch. When frustrations are mounting, workstations are getting slow, or communication with their current IT partner is downright difficult. Only then does the question come up: "Shouldn't we talk to someone else?"

In this article, our IT expert Walter de Kok explains which problems businesses experience with IT, which misconceptions are still common, which pitfalls he sees regularly and how to recognise good workplace management.

Common IT problems at SMEs

At Infodatek, businesses often get in touch when they have become stuck on one or more fronts. Think of performance problems, uncertainty about security or the feeling that their IT is not growing with them.

Especially in growing organisations, we see that systems that were once perfectly adequate are now bursting at the seams. The result? Slower processes, frustrated employees and an IT department that spends more time catching up than looking ahead. We explain these common IT problems below.

1. Performance problems

One of the most common IT problems is poor performance. Employees often find that systems are slow or even go down. This can have several causes:

  • Insufficient server capacity: if the server does not have enough resources to support the number of users, this can lead to delays.
  • Outdated hardware: older computers and networks cannot deliver the speed and efficiency that modern software requires.
  • Software problems: bugs in applications or incompatibility between different software programs can also cause performance problems.
  • Poorly configured network: a badly set up network can also cause performance problems, such as dropped connections or slow copying.

2. Uncertainty about security

Many businesses ask themselves: "Is our environment actually properly secured?" They worry about their digital security, especially if they process sensitive data. This can lead to:

  • Data breaches: inadequate security can lead to data leaks and a loss of customer trust.
  • Business downtime: cyber attacks can bring business processes to a standstill.
  • Financial losses: the cost of recovering from a breach can be considerable.

3. A partner who does not deliver

Another common frustration for businesses is working with IT partners who do not deliver. This can show itself in:

  • Tickets that take a long time to resolve: if problems are not solved quickly, productivity suffers.
  • Poor communication: a lack of clear communication can lead to misunderstandings and frustration.
  • No solutions: failing to offer solutions in time can seriously disrupt business operations.

4. Lack of scalability

Another problem that often occurs in businesses is a lack of scalability in their IT systems. As businesses grow, this can lead to:

  • Overloaded systems: more employees means more load on the existing infrastructure, which can lead to performance problems.
  • Limited functionality: systems that were not designed for growth can hold businesses back in their development.
  • High costs: adapting or replacing systems can be expensive and time-consuming.

5. No control over updates and maintenance

Another common problem we often come across is a lack of control over updates and maintenance. This can lead to:

  • Security vulnerabilities: outdated software can contain weaknesses that hackers can exploit.
  • Loss of functionality: if software is not updated, businesses can miss out on important new features.
  • Higher costs in the long run: neglecting maintenance can lead to bigger problems that end up costing more to fix.

The biggest misconceptions about IT and workplace management

Besides these IT problems that businesses run into, we also regularly hear these misconceptions about IT and workplace management:

"We use Microsoft 365, so everything is taken care of."
Unfortunately, this is not true. Backups are not included as standard. Security requires a tailored approach.

"Getting IT right costs a fortune."
Not necessarily. Poor IT management often costs more in the long run. Think of downtime, data loss or even reputational damage.

"Our system administrator handles everything just fine."
That is true, until that person is ill. Or on holiday. Or even leaves the company. Then all of a sudden you cannot access anything.

A pitfall in workplace management: the user

What is more, the weakest link in your IT security is rarely the system, but often the user. One click on a phishing link and your entire network is exposed.

That is why awareness is crucial. Train your employees to recognise phishing and make sure they know what safe behaviour looks like.

A pitfall in growth: workplace management is the last thing considered

Another pitfall in workplace management is the following typical scenario: a business grows quickly, but holds on to its old systems. Those were fine for ten people, but not for thirty. Scaling problems are then inevitable.

We often advise migrating to a scalable cloud environment, for example with Microsoft 365. It is not only future-proof, but also offers flexibility and better security.

Even so, migrating to the cloud is not always straightforward. Not all software is suitable for the cloud. In that case, we often work with a hybrid solution: email and files in the cloud, legacy applications on premises. That way we combine flexibility with functionality.

The quiet strength of good workplace management

Ironically, you mainly notice good IT management... when it is missing.

With good workplace management, systems are not slow, updates run automatically and employees can work without interruption. And then it seems as if nothing is going on. Yet a great deal is happening behind the scenes:

  • Updates to operating systems and software.
  • Automatic backups (because no, Microsoft 365 does not do that as standard!).
  • Security patches and monitoring.
  • Advice on configuration and scalability.

And that pays off: fewer outages, less frustration and more productivity.

What you can expect from a good IT partner

If you want to get your IT properly sorted from now on and are looking for an IT partner, bear in mind that it needs to be more than a firefighter. Thinking along with you is essential. Every business is different, so a tailored approach is necessary. What you can expect from us:

  • Proactive advice: not only what is technically possible, but also what suits your organisation.
  • Communication and availability: quick responses without endless waiting times.
Transparency and plain language: IT does not have to be a black box.
  • Security and maintenance: systems stay secure and up to date without you having to worry about it.

More about proactive IT management for SMEs

In conclusion

So you do not always see good workplace management, but you certainly notice when it is missing!

That is why it pays to invest in a future-proof IT environment in good time. And choose a partner who thinks along with you, advises you proactively and solves problems before you notice them. Because IT should make your work easier, not harder.
