How an SME gets started with AI
We do not start with a tool, but with a walk through the work. Where does a lot of time go right now? Think of writing up reports, answering the same customer questions again and again, searching folders for information or retyping data from one package into another. For each task we work out how many hours it takes today and how much of it AI can take over.
Then you pick one application with us that shows results quickly. If it works well, we build on it. If something disappoints, we drop it and move on to the next opportunity. That way you keep an overview and you do not pay for a large project whose return only shows a year from now.

Using AI safely with your own business data
The first question about AI is usually: what happens to our data? In Managed Cowork that is clearly arranged. The AI only draws its answers from sources the person asking is entitled to. Those permissions apply before anything goes back, even for packages that know nothing about roles themselves. So anyone without access to the HR folder will not get that information through the AI either.
Your data is not used to train models. You choose which model you work with: online models such as ChatGPT, Claude and Copilot, or a private model within the European Union. The latter suits you well if you handle sensitive information or if a customer asks for it. Infodatek Group is itself certified to ISO 27001 and NEN 7510, so careful handling of data is part of how we work every day.

An AI workplace only pays off when your colleagues actually use it. People who already experiment will find their way. Most of the gain lies with colleagues who still hesitate: what can I use it for, and what am I allowed to put in? That is why training comes with it, built on situations from your own work, in Dutch or in English.
Together we set down agreements everyone understands: which data belongs where, what you share and who to turn to when in doubt. Frequently asked questions about AI and Copilot for SMEs
We already have Microsoft 365 Copilot. Do we still need you?
Copilot is a good start, and it delivers more when it is set up properly: the right permissions in SharePoint and Teams, tidy folders and colleagues who know what they can do with it. That is where we help. If you also want a workplace with its own apps or a private model, we look together at whether Managed Cowork fits. You do not have to choose one or the other.
Is our data used to train AI models?
No. In Managed Cowork your data is not used to train models; it stays yours. If you work with sensitive information, you can also choose a private model that runs within the European Union. Beforehand we agree which sources you connect and who may access what, so you know exactly what the AI can see.
Can every colleague reach every document through the AI?
No. The AI only uses sources the person asking is entitled to. Anyone who cannot open the management folder in the normal system will not get that information by asking the AI either. Every answer comes with its source, so everyone can check where it came from, and confidential information stays where it belongs.
Which AI model will we be working with?
You choose, and it can differ per role. In Managed Cowork you work with online models such as ChatGPT, Claude and Copilot. If you want your data to stay within the European Union, a private model within the European Union is also an option. We advise which model suits which kind of work, so you do not have to guess.
Is AI also worthwhile for a company with ten or twenty staff?
Certainly. In a small team especially, it makes a real difference when reports, searching and recurring emails go faster. We start small, with one application that saves time straight away, and only expand if it works. Your colleagues get a short training session with examples from your own work, so they can put it to use the next day.
How do we handle an AI policy without a thick document?
Together we make agreements that are visible in the work itself, instead of a document nobody reads. Which data goes where, what do you share and what not, and who do you call when in doubt? In Digital Care you can see which source belongs to an answer and who asked the question, so you can show it when a customer or auditor asks.
